  • Receive and respond to all correspondence directed to WellSprings’ general inboxes, including postal mail, office e-mail inbox, office phone line, and correspondence from Sunday services (e.g. sign-up forms, Communication Cards, etc.) Direct correspondence to staff or volunteers, as appropriate.
  • Provide material support (e.g. set-up, clean-up, delivery of items, etc.) for Sunday morning services, and for special congregational events. Print and assemble materials for events as requested.
  • Count and record attendance, receive and count weekly offering at Sunday services; record donations in database and make weekly bank deposits. Print and mail donation acknowledgements and other correspondence as needed.
  • Enter and maintain accurate, up-to-date, and consistent records in WellSprings’ database system, to support the work of our staff and volunteers. Produce reports from database as requested. Maintain and safeguard congregational records and files.
  • Provide periodic data reports to external organizations (e.g. compliance with music licensing service, updating contact and membership info with our denomination, etc.).
  • Serve as primary point of contact for our rental facility, schedule physical and virtual meeting space, and maintain up-to-date calendar of WellSprings events.
  • Maintain, arrange repairs, and/or procure necessary office equipment (e.g. printer, computer, etc.) and supplies (e.g. paper, printer ink, folders, etc.) needed for the regular functioning of the congregation. Order supplies as requested and authorized by other members of the staff.
  • Attend and record notes for weekly staff meetings and periodic staff retreats.
  • Excellent detail management, organizational, and record-keeping skills.
  • Strong skills working with Microsoft Office (Word/Excel/Powerpoint) and web-based computer applications, including aptitude for learning and working with new systems. Familiarity with programs like Constant Contact, Realm, or other church/customer relationship management software is a plus.
  • Strong aptitude for working collaboratively in a team environment, composed of both staff and volunteers.
  • Strong ability to organize time, prioritize tasks, work efficiently, and communicate proactively and reliably with others regarding deadlines or delays.
  • Ability to receive and transmit sensitive information (e.g. pastoral requests, donations, etc.) with discretion and/or confidentiality, as appropriate.
  • Ability to stand, walk, and carry up to 30 lbs; ability to bend, lift, stoop, and crawl as necessary to access supply storage spaces.
  • This is a part-time position with a salary of $8,970 per year. ($17.25/hr)
  • Benefits include 3 weeks of paid time off (PTO) during each fiscal year; and one week of paid Study Leave per year, to be used for major projects, long-term planning, or training and professional development.
